Terms and conditions

These terms apply to every dog daycare booking with [Business name] ("we", "us"). By booking you ("the owner") agree to them.

1. About us

[Business name] is licensed by [Council name] to provide day care for dogs under the Animal Welfare (Licensing of Activities Involving Animals) (England) Regulations 2018. Licence number [number], rated [number] stars, valid until [date]. A copy of our licence is displayed at [premises address].

2. Joining

2.1 Every dog has an assessment or trial day before joining. We may decline a place if we think daycare is not right for your dog. 2.2 You must complete our registration form in full, including your dog's microchip number, your vet, emergency contact details, medical and behavioural history, diet and any medication, and keep it up to date. 2.3 Dogs under one year old are kept separate from older dogs unless you give written consent for them to mix.

3. Vaccinations and health

3.1 Your dog must be fully vaccinated against canine distemper, infectious canine hepatitis, canine parvovirus and leptospirosis, with the primary course finished at least two weeks before the first day. Please show us the vet's record. We may accept a recent titre test certificate instead of a booster. 3.2 [We require / We recommend] vaccination against kennel cough. 3.3 Flea and worming treatment must be kept up to date. 3.4 Please do not bring your dog if they are unwell, or have had sickness or diarrhoea in the last [48 hours]. If your dog becomes unwell with us, we will call you and you must collect them as soon as possible. 3.5 [Entire males over [age] / Females in season] cannot attend.

4. Behaviour

4.1 Dogs play in groups chosen by our staff. We will tell you about any change in your dog's behaviour. 4.2 If your dog shows behaviour that puts other dogs or our staff at risk, we may ask you to collect them and may end their place.

5. Bookings and payment

5.1 Bookings are made through [method]. Regular days are reserved every week until you give notice under our cancellation policy. 5.2 We invoice [monthly in advance / monthly in arrears / weekly]. Payment is due within [7] days by [direct debit / bank transfer / card]. 5.3 We may pause bookings if an invoice is more than [14] days overdue. 5.4 We will give at least [one month's] notice of any price change. 5.5 Cancellations and changes are covered by our cancellation policy, which forms part of these terms.

6. Drop-off, collection and transport

6.1 Our opening hours are [hours]. Late collection after [time] is charged at [amount] per [15 minutes]. 6.2 We will only hand your dog to you or a person you have named in writing. 6.3 If we collect your dog, they travel secured in our vehicle. You must give us safe access at the agreed time.

7. Veterinary treatment

7.1 If your dog needs urgent treatment we will try to contact you first. If we cannot reach you, you authorise us to take your dog to [your own vet / our vet, Practice name] and to agree to the treatment the vet advises. 7.2 You are responsible for the cost of any treatment and for any related transport costs. 7.3 You must tell us about any existing condition or medication. We can give medication only with your written instructions.

8. Photos

We may take photos and videos of your dog during the day to share with you. We will only use them on our website or social media if you agree on the registration form. You can change your mind at any time.

9. Liability

9.1 Dogs at play can sometimes pick up minor scrapes or illnesses even with good care. We are not responsible for these unless they are caused by our negligence or breach of these terms. 9.2 We are not responsible for loss of or damage to collars, leads, toys or other items left with us. 9.3 You are responsible for any damage or injury your dog causes to people, other dogs or property, and we recommend you hold pet insurance with third-party liability cover. 9.4 Nothing in these terms limits our liability for death or personal injury caused by our negligence, or affects your statutory rights.

10. Your information

We hold your details and your dog's records to run your bookings and because our licence requires it. We keep records for at least three years and handle them under UK data protection law. See our privacy notice at [link].

11. Complaints

Please raise any concern with [name] at [email]. We will reply within [5] working days. You can also contact [Council name], which licenses us.

12. Changes and law

We may update these terms and will tell you at least [one month] before changes take effect. These terms are governed by the law of England and Wales.

This is a starting point, not legal advice. Check it against how your business runs, and ask a solicitor to look over anything you are unsure of.

Why it is written this way

Your licence number belongs on your website

The Defra guidance requires the licence holder's name and licence number on any website used for the business, and a copy of the licence on display. Section 1 does both jobs.

Section 2.2 is your licence record

The guidance lists what you must record for every dog: microchip, owner and emergency contacts, vet, medical and behavioural history, diet, consents and vaccination dates. Asking for all of it at registration means the record is complete from day one.

You cannot exclude negligence

Under the Consumer Rights Act 2015 a business cannot exclude liability for death or personal injury caused by its negligence, and a broad 'we accept no responsibility' clause can be unenforceable. Section 9 limits liability only where the law allows.

Vaccination wording

The four diseases in 3.1 and the two-week rule come from the licence conditions. Kennel cough vaccination is your own choice, so 3.2 lets you say whether you require it.

Questions owners ask

QWhat should dog daycare terms and conditions include?
Who you are and your licence number, how dogs join, vaccination and health rules, behaviour, bookings and payment, cancellations, drop-off and collection, permission for vet treatment and who pays, photos, liability, data, complaints and governing law.
QDo dog daycare terms have to show a licence number?
Yes. The statutory guidance for licensed dog day care requires the licence holder's name and licence number on any website the business uses, and a copy of the licence displayed where customers can see it.
QCan a dog daycare say it accepts no liability?
Not for everything. A business cannot exclude liability for death or personal injury caused by its own negligence, and terms that are unfair to consumers are not binding. You can limit liability for minor knocks and for items left with you, as long as you are not negligent.
