What "Have you received my invoice?" Is Actually Costing You

"Have you received my invoice?" It is a small message. You have probably sent it a hundred times. It feels like nothing. But that one little question, repeated across every customer, every week, is quietly one of the most expensive habits in a small pet business. Here is what it actually costs, and why a human should not be the one doing it.

How much time does chasing invoices really take?

Let us put real numbers on it. Picture a daycare with 40 regular customers billed weekly or monthly. For each billing run you tend to:

  • Open your banking app and scroll for recent payments
  • Cross reference each payment against your invoice list
  • Work out who has paid, who has not, and who paid the wrong amount
  • Message the ones who have not paid, politely, one by one
  • Remember to check again in a few days and chase again

Conservatively, that is 20 to 40 minutes per billing cycle just reconciling, plus a minute or two per chase message. Across a month, most owners doing this by hand lose three to six hours to a task that produces nothing. It does not care for a single dog. It does not win a single customer. It just stops money going missing.

The real cost is not only the minutes

Time is the obvious cost. The hidden ones are worse:

  • It happens in your evenings. Reconciling payments is the 9pm job, after a 10 hour day on your feet.
  • It is mentally sticky. An unpaid invoice sits in your head all day, a quiet tax on your attention you never switch off.
  • It damages relationships. Chasing a good customer for money feels awful, so you delay it, and the debt grows and the conversation gets harder.
  • Money genuinely slips through. When tracking is manual, some invoices simply get forgotten. That is lost revenue you never recover.

Put a value on your own hour. If your time is worth even £20 an hour, four hours a month of manual payment chasing is nearly £1,000 a year, before you count the invoices that quietly fall through the cracks.

Why a human should not be doing this job at all

Checking whether a payment has landed is a lookup. Matching a payment to an invoice is a comparison. Sending a reminder is a template. None of these are judgement calls. They are exactly the kind of repetitive, rules based work that software does instantly and never forgets, and that humans do slowly and resent.

The only reason so many owners still do it by hand is that their tools were never built to do it for them. A spreadsheet cannot see your bank. A basic invoice does not know if it was paid.

What good actually looks like

The fix is not working faster. It is removing the job. Good invoice and payment tools should:

  • Show payment status automatically, so paid, pending and overdue are visible at a glance without opening your bank
  • Reconcile payments to invoices for you, so you never cross reference by hand
  • Let a customer pay from the invoice itself with a single link
  • Resend an outstanding invoice, with its pay link, in one click instead of a manually written chase
  • Collect recurring fees by Direct Debit so most invoices are paid before you would even have chased them

Notice what disappears here. There is no evening reconciliation, no scrolling the bank feed, no awkward one by one chase messages, and far fewer forgotten invoices.

How Genera handles it

Genera was built to take this whole job off your plate. Its finance dashboard shows every invoice as paid, pending or outstanding at a glance, so you never open your banking app to check. Payments reconcile against invoices automatically. When something is outstanding, you resend the invoice and its pay link in a single click rather than writing a message. And with GoCardless Direct Debit, most of your recurring fees collect themselves before a chase is ever needed.

It is built by Duncan, who has run Duncan's Doggy Daycare for 15 years, so it removes the exact 9pm admin that eats real pet business owners alive. The question stops being "have you received my invoice?" and becomes one you never have to ask.
